INTRODUCTION

Level Recruitment AB is a recruitment company that offers companies recruitment services for the purpose of recruiting new employees. As part of this, job seekers can search for jobs on our website and/or create a personal profile in our CV database that lets them receive job vacancies from Level Recruitment.

We do not consciously search for the data of minors. This consent describes Level Recruitment’s processes in the way we collect and process your personal data and it specifies your rights. We believe that data protection and privacy issues are a long-term responsibility. Therefore, from time to time we may update this consent when we develop our personal data processing or adopt new personal data policies.

HOW WE COLLECT AND USE (PROCESS) YOUR PERSONAL DATA 

Personal data you provide to us:

Apply for a job, create a profile and be searchable in CV database

In order to help you find a new job and to provide a job search function (“the Service”) based on your consent, Level Recruitment AB processes the following information, including but not limited to your name, username and password, e-mail and also the details that you provide in your CV and other application documents, including but not limited to contact information, personal identity number, training/educational background, date of birth, gender, preferences, interests and details about relocation. We can also request more information from you in order to process your job application, such as references, details about skill sets and occupational status qualification, if applicable. Applicants can edit their user profile at any time.

We process your personal data for recruitment, to administrate your application and inform you about the progress of the recruitment process.

Interviews, proficiency tests, reference taking & meetings with client companies

If you take part in interviews and/or are performing a proficiency test as part of the recruitment process, we collect additional information including your answers to interview questions, skill sets and references from relevant sources. We may use third parties to complete all or parts of the recruitment process and we have ensured that these partners comply with the company’s personal data policy and our instructions. If you are chosen for the next stage of recruitment and are under consideration at one of our client companies, we may also send your contact details, answers to interview questions, skill sets, references from relevant sources, grades, testimonials, certificates and other necessary information required to conclude an employment contract. In certain cases our clients ask us to perform a background check, request an extract from the criminal records registry and perform health checks or other controls outside the regular recruitment process. In such cases you will be informed and asked to provide your consent. We may provide your contact details to affected third parties, in which case a Personal Data Processing Agreement is required.

We generate personal data by categorising information, including but not limited to metadata and history.

If you communicate with us by e-mail, post or any other form of communication, we may keep such communication and use the information contained therein to answer your enquiries or handle your complaints, questions and the like. The purpose of processing your personal data

As explained above, we process your personal data to provide the recruitment service that you have consented to, apply for a job, create a profile and search for individual jobs, conduct interviews, proficiency tests, reference taking and your communication with us. If you are due to meet one of our clients for a certain job you are interested in, we will provide your personal data to our clients in accordance with this consent. We use this information to improve our service to you, perform analyses on how the service is used and its performance in order to improve the service, including testing of the service. We also process your personal data to maintain security measures for personal data to prevent fraud, ensure network and information security, including preventing unauthorised access and damage to electronic communication networks and computers.

WHEN AND HOW WE SHARE PERSONAL DATA WITH OTHERS

Information about your user profile and the recruitment process is stored in one or several databases hosted by third parties located in the EU. These third parties neither use nor have access to your personal data for other purposes than to provide cloud or storage services.

If you are selected for a recruitment process, we will send the personal data that is relevant to the assignment to the specific company, authority or organisation that is our client. In turn, we have ensured that our clients handle your personal data in a secure and correct manner. If you are presented as a potential applicant for our client, our client can save your personal data and information relevant to recruitment, even after the recruitment assignment is completed. We have concluded a Personal Data Processing Agreement with our clients where we ensure that the client stores and processes your personal data in a manner that complies with the GDPR.

We do not sell personal data to anyone and only share personal data with third parties who facilitate the provision of our service, including sub-contractors for whom we are responsible.

We do not share your personal data with third parties unless; (i) you have requested or approved it; (ii) the information is submitted to comply with the law (e.g. after a house search, order or court decision, fulfil an agreement we may have with you, or to protect our rights, property and security for the service, or other users or our employees; (iii) to handle emergency or force majeure events; or (iv) to handle disputes, claims or to deal with people who are acting on your behalf. We may also collect aggregated data about our applicants and make this information available at an aggregate level to our partners, service providers, or partners for marketing purposes.

 

INTERNATIONAL DATA TRANSFER

If you are among the applicants at one of our client companies and the company has operations outside the EU/EEA, the data may be stored in a third country. This could be appropriate in conjunction with interviews with employees of the client company who are based outside the EU/EEA.

This mainly includes, but is not limited to, e-mail conversations that may contain contact details including name, address, phone number, e-mail address, CV and other application documents, answers to interview questions, knowledge proficiency, personality test forms, references from relevant sources, grades, testimonials, certificates, results of background checks, extracts from the criminal records registry and the results of health checks and other controls that are necessary for performing the service.

If this applies to you, Level Recruitment has signed a Personal Data Protection Agreement with the client company in question, which ensures that the client company complies with EU regulations on data transfer to a third country.

 

YOUR INDIVIDUAL RIGHTS

You can also request information about the purposes of data processing; categories of personal data, which parties outside Level Recruitment have received your personal data from Level Recruitment, information on your personal data’s source (unless you provided it to us directly) and for how long your data is stored.

You have the right to correct the record of your personal data maintained by us if it is inaccurate. You may request that we erase that data or cease processing it, subject to certain exceptions. You may also request that we cease using your data for direct marketing purposes. In many countries, you have the right to lodge a complaint with the appropriate data protection authority if you have concerns about how we handle your personal data. If it is technically feasible, we will also transfer your data directly to another data controller upon your request.

We will give you reasonable access to your personal data, which will be provided at no cost to you upon request to personuppgiftsanvarig@levelexecutive.se. Reasonable access to data can be requested as long as it does not constitute an inconvenience for the Personal Data Controller. If access cannot be provided within a reasonable time frame, we will give you a date for when the information will be provided. If access is denied, we will provide an explanation as to why access has been denied.

 

SECURITY FOR YOUR PERSONAL DATA

We take appropriate technical and organisational protective steps to safeguard the privacy of the personal data that you transfer while using our service. We continuously test and update our security technology. We restrict access to your personal data to employees who need to know the information in order to provide the service to you. We also train our employees in the importance of confidentiality and uphold the privacy and security of your information. We undertake to take appropriate disciplinary measures to uphold our employees’ privacy responsibility.

 

DATA STORAGE

We store your personal data on our servers belonging to our cloud service provider, who is based in the EU. We store personal data for the duration of your business relationship with Level Recruitment. How long we store the data

Data that you consent to us storing when you are searching for a job at our website or when you register a CV on our website is stored for three years as standard. If you are applying for a job in the public sector on Level Recruitment’s website your information is saved for up to five years or as long as required by applicable law.

Renewing and revoking your consent

When your term of consent is coming to an end you will receive a reminder informing you of this. You can extend or revoke your consent by logging in with your login details.

 

UPDATING THIS CONSENT

We may, from time to time, update and develop our recruitment services offering and may therefore update these conditions in the future. We reserve the right to update and change the content of this consent without notifying you beforehand. Where required by law, we will send you a message notifying you that this consent text has been changed and that your consent is required anew.
